In plain English
- What happened
- Most chat-based AI tools, including ChatGPT, treat each new conversation as a blank page by default. They do not automatically carry over facts about your business from one chat to the next unless you turn on settings built for that, according to OpenAI's current memory FAQ and its custom instructions page.
- Why it matters to your business
- If you run a small business and use AI for customer replies, drafts or planning, re-typing your hours, pricing, tone and policies into every new chat wastes time and invites the assistant to guess, which is often where generic or wrong answers come from. Two settings, set up once, remove most of that repetition.
- Do this
- Open ChatGPT's settings, go to Personalization, and fill in the custom instructions fields with the basics of your business so every new chat starts with that context already in place.
Most chat-based AI tools treat every new conversation as a blank page. Nothing you said in an earlier chat carries into the next one unless a setting specifically designed to remember things is turned on and working as intended.
The two settings that actually fix this
The first is custom instructions. This is a text box where you write out details about yourself and how you want responses handled, and it applies automatically to new conversations going forward, according to OpenAI's current custom instructions page. It does not update on its own. If your hours or pricing change, the text in that box needs updating too.
The second is memory, a separate feature that lets ChatGPT pick up facts from what you say during conversations and bring them into future ones without you retyping anything, according to OpenAI's current memory FAQ. The two work differently: custom instructions are a fixed note you write once, memory is accumulated automatically from what you actually discuss.
OpenAI's current memory FAQ states that users can view, edit or delete any individual fact ChatGPT has saved about them from inside the settings menu.
Setting this up for a business
- 1
Open your settings and find Personalization
In ChatGPT, this is where both custom instructions and memory controls live. The exact menu wording has moved around in past updates, so look for a section about how the assistant responds to you.
- 2
Fill in the custom instructions fields
Write out what your business does, who it serves, and how you want answers phrased. This text applies to every new chat from that point forward, per OpenAI's current documentation, so keep it to facts that stay true for months at a time.
- 3
Turn on memory if it is available on your plan
This lets the assistant pick up details from ongoing conversations, like a client's name or a recurring project, without you repeating them.
- 4
Check what has been saved every few months
Memory can be viewed and edited from the settings menu. A quick read-through catches anything saved incorrectly before it shapes a future answer.
- 5
Keep sensitive client data out of both fields
Custom instructions and memory are meant for general business facts, not customer records, account numbers or anything a client would expect kept private.
My business is [business name], a [type of business] based in [city/region]. We serve [type of customer]. Our standard hours are [hours], and our typical pricing or service range is [price range or policy]. When you answer, write in a [tone, e.g. friendly and direct] style and avoid suggesting services we don't offer: [list anything to avoid].
Reality check
Memory is not a substitute for checking facts before they go out. It can misremember or mix up details from different conversations, and it will not catch a price change you forgot to update yourself. Treat anything it recalls as a draft fact to confirm, not a record of truth.
None of this requires a paid upgrade or a new tool. It is a settings change, and it takes longer to write a good custom instructions entry than to turn the feature on.
